The earlier volumes are mainly retrospective and contain material going back in date to the early 19thcentury. In most cases the compilations continued to be added to after the date given on the title page of the volume, the date when they were started. Each volume is indexed and contains a list of contents.

- References to the documents from which the notes were taken are to be found in the right hand margins of each volume. When the reference is to 'Colln to PC' (or Draft) this indicates that full documentation can be found in the Board's Collections IOR/F/4. To trace the relevant Collection it is necessary to know the draft number. If only the PC (Previous Communication) number is given, the number of the related draft can be obtained by reference to the Registers of Previous Communications and Draft Dispatches, IOR/Z/L/PS/2/1-2 which give the cross-references between PC and Draft numbers. The relevant Collection can then be located in the descriptive list of Board's Collections 1796-1839 [IOR/F/4] in the OIOC Reading Room - the list is arranged by order of draft number and year. In some cases however the reference is to correspondence received or sent by the Board. These references can be identified by two registration numbers, the five figure office reference and the shorter departmental reference. They can then be looked up in the Board's Registers of Letters from and Dispatches to India, etc. IOR/Z/L/PS/4/8-10, where the data given should be sufficient to trace the letters in the surviving series of Secret and Political Correspondence, IOR/L/PS/5 and 6.
