- The documents have always been kept in the Omanhene's Palace, in Atuabo, which also serves as permanent seat for the Eastern Nzema Traditional Council. According to the Omanhene, part of the collection got lost in a fire, and some of the records might be spread in the sub-chiefs' archives, due to uncontrolled management of the archive during the vacancy of the Paramount Chief (2008-2010).

- It was neither possible to find any trace of a pre-existing system of arrangement of the archive, nor to track back its original shape using the old reference number on the folders, since most of them were missing or mixed up with the records. The project provided a new system of arrangement to the materials, which have been sorted out and goruped in four series: 1. Dispatches and Diaries; 2. General Administration; 3. Financial Administration; 4. Judicial Records and Stool Affairs. The acronym ‘ENTC‘ (standing for Eastern Nzema Traditional Council) has been chosen to identify the collection. The files falling by topic in the created series have been grouped, ordered by covering dates and marked with increasing numbers. Over the years the Registrar of the Traditional Council has been in charge for the actual management of the archive.

- EAP569 was funded by the Endangered Archives Programme. It created digitial copies of held at Omanhene's Palace, Atuabo.
